One system for the back of house, not four.
Most independent restaurants run stock, food safety, rotas, and P&L in separate tools that never share a number. Kitchen Brain puts them on one spine, so food cost, labour, and prime cost update themselves as the day runs.
The real problem isn’t a missing feature
Ask an operator what they use to run the back of house and you’ll hear a list. A POS for sales. A spreadsheet for the weekly P&L. Maybe an inventory app, a separate food-safety app, a rota tool. Each one is fine on its own. The problem is that none of them talk to each other.
So the numbers never line up. Your POS knows what sold. Your stock count lives somewhere else. Your labour cost is in the rota app. To find out whether last week actually made money, someone sits down on a Monday and copies figures between tabs. By the time the prime cost is worked out, the week it describes is already gone.
That’s the gap. Not any single tool, but the space between them.
What operators use today, and where each one stops

Enterprise platforms
They do connect everything. They're built for groups with dozens of sites, priced to match, and they come with contracts and setup projects. For an operator with three or four locations, that's a lot of platform and a lot of cost for the problem in front of them.
POS reporting
It's right there in the till and it's improving fast. It tells you what sold and roughly what came in. It doesn't cost your recipes properly, it doesn't run your HACCP book, and it doesn't put labour and food cost together into a real prime cost.
Point tools
Each one does its one box well: stock and recipe costing, opening and closing checklists, scheduling. Stack three or four of them and you've rebuilt the enterprise platform by hand, except now you're paying several bills and doing the integration yourself.
None of these is a bad choice. They just leave you either overpaying for scale you don’t need, or holding a stack of apps that don’t share a number.
What Kitchen Brain does differently
Kitchen Brain is one system with one data spine. A sale doesn’t just get recorded, it draws down the stock it used. That stock is costed against the recipe, including prepped items made from other items, so the food cost is real rather than estimated. Clocked hours feed the labour cost. Put those together and the prime cost, the number every operator actually manages by, is sitting there per site, current, without anyone building a spreadsheet.
The rest of the back office lives in the same place. Digital HACCP books and temperature logs. The prep list and the waste log. Purchase orders, supplier invoices, and the disputes when a delivery comes up short. Rotas, time and attendance, and staff training. One login, one set of numbers, scoped so a floor iPad sees the shift and the owner sees the money.
It’s built for the operator the enterprise platforms skip and the point tools can’t fully serve: the independent site and the small group, run properly, without an enterprise budget.

One bill, not four
Here’s the honest way to think about cost. If you’re on an enterprise platform, you’re paying for a scale you may not have yet. If you’ve built your own stack, add up the inventory app, the food-safety app, the rota tool, and the reporting add-on, and you’re often paying as much across four subscriptions as a single connected system would cost, plus the hours someone spends holding it all together.
Kitchen Brain is one system and one bill. And because I build and set it up around how your kitchen actually works, you’re not left to wire it together yourself.
Who it’s for
This suits you if
You run 2 to 8 sites, you already have a POS you’re happy with, and your real problem is that the numbers behind it are scattered. It suits you if you want your prime cost without a Monday-morning spreadsheet, and your HACCP, rota, and ordering in the same place as the money.
It’s probably not for you if
You’re a single site that a POS report already covers, or a national chain that needs a full accounting platform. I’ll tell you if that’s the case rather than sell you something you don’t need.
See it running on real numbers.
The quickest way to judge it is to watch it work. I’ll walk you through a live restaurant’s back office in 20 minutes, using your kind of menu and your kind of numbers, and you can decide from there.
